Short Summary

The ideal candidate will have to be the highly professional first point of contact for all Poynting European and International customers and should be able to provide feedback and process all necessary orders/documentation from a customer enquiry, order, to invoicing and tracking details of shipments and provide efficient and accurate feedback to all internal and external parties as required and be proficient in Navision Microsoft Dynamics.

Key Responsibilities

Navision Proficient

  • Monitor the accuracy of order processing and fulfillment to prevent errors and enhance customer trust.
  • Ensure adherence to communication standards and guidelines when interacting with customers, leading to consistent and professional communication.
  • Utilize Navision to access customer profiles and order history, enabling personalized and informed interactions.
  • Leverage Navision to provide real-time updates to customers regarding order status, shipping details, and any potential delays.
  • Address and resolve customer issues and complaints in a timely and effective manner.
  • Use Navision to check product availability and provide accurate information to customers regarding stock levels.

Customer Service and Reporting

  • Build and maintain relationships with customers on international level.
  • Providing pre-sales (basic product enquiries related to pricing, availability and similar) and after sales service (would mostly entail channeling queries and/or requests to the relevant staff members to assist and provide feedback to customers).
  • Working through customer database weekly to track trends and needs of customers and discuss where relevant with the necessary Sales teams.
  • Be proactive and show initiative with regards to problem solving and liaising accordingly with all parties involved.
  • Supply statistics and information as requested and ensure reports completed accurately and timeously, according to company requirements.

Invoicing and Procurement

  • Full order processing of European and International customers.
  • Loading and invoicing of sales orders on ERP system.
  • Perform buying activities according to the purchasing procedures.
  • Generate a purchase requisition for required materials and obtain the necessary approvals from management.


  • A thorough knowledge of the flow of international documents and the importance of completing documents for international trade purposes.
  • Handling sales queries – informing and negotiating with sales and production departments regarding delivery dates.
  • Being constantly aware of inventory levels, to assess if stock is available, or when to try and negotiate with a customer to possibly increase/adjust their order (in terms of stock levels – this is not an active sales role, but rather the need to spot an “upsell” opportunity).
  • Tracking details of shipments.
  • Focus and coordinate the requirements of sales with the activities of stores, production, quality, packaging and Logistics.
  • Assisting with inbound and outbound logistics of stock.
  • Other activities to support daily operations and assist colleagues in the team where necessary.

Administration and Reporting

  • General correspondence and administration completed accurately and timeously.
  • Email, inbox, and data managed timeously and effectively.
  • Professional image maintained in all communication.
  • All reporting and feedback requirements met, and reports completed accurately and timeously, according to company requirements.
  • Drafting, maintaining, and ensuring adherence to departmental processes and standard operating procedures.
  • Supply statistics and information as requested.

Qualification & Experience

  • Bachelor's Degree in Business Administration, or a related field.
  • Proficient in Navision.
  • 2-3 Years in a similar role.
  • Strong analytical and problem-solving skills.
  • Good communication and interpersonal skills.
  • Eagerness to learn and adapt to new technologies.
  • Ability to work collaboratively in a team environment.
  • Proficiency in office software and project management tools.
